Every month, salaries must be calculated with precision, taking into account applicable collective agreements, personal income tax (IRPF) withholdings, Social Security contributions, overtime, bonuses, absences, and any other variable elements. Errors here do not just cause employee dissatisfaction — they trigger penalties from the Tax Agency and the Social Security system.

Social Security compliance goes hand in hand with payroll. Every employer must register workers before their first day, file monthly contribution reports (TC1 and TC2 equivalents under the RED system), and keep all registration and deregistration paperwork up to date. The rules change regularly, and the consequences of falling behind — surcharges, interest, and even temporary trading restrictions — can be severe.

Documentation you will need to provide

  • Employment contracts and any amendments or extensions
  • Applicable collective agreement (convenio colectivo) and salary tables in force
  • Employee personal data including tax identification (NIF/NIE) and Social Security number
  • Monthly time and attendance records, including overtime and absences
  • Bank account details for salary transfers
  • Any court orders, wage garnishments, or special deductions applicable to individual employees

Key deadlines

  • Payslips must be provided to employees by the last working day of each month (or the date set in the collective agreement)
  • Social Security contributions must be paid by the last day of the month following accrual (via direct debit, the charge date is usually the 25th of the month)
  • Model 111 (quarterly IRPF withholdings for SMEs) is due within the first 20 calendar days of April, July, October, and January
  • Model 190 annual withholdings summary is due in January of the following year
  • Worker registration must be submitted to Social Security before the employee's first working moment
